Venue Finding Executive

Reporting to: Head of New Business Proposals

Business: First Event

Purpose of the role

This role is to assist both the New Business and Operations Department in the sourcing and selection of venues for our events.

Working closely with the Head of New Business Proposals, the role will act as the main point of contact for all new business venue enquiries from onset through to either contract, or passing through to the Operations Department for full event management.

Principal responsibilities

Venue Finding Executive, full time

  • Taking on and developing venue briefs as outlined by the Head of New Business Proposals and the Sales Manager
  • Preparing venue proposals within a set time and format for the client
  • Venue sourcing across the UK and internationally
  • Researching and proposing new and exciting destinations
  • Liaising with venues and suppliers.
  • Negotiation and adding value to our proposals
  • Accurately tracking all venue proposals and ensuring the tracker is up to date on a daily basis.
  • Tracking venue commission and commission invoicing
  • Providing costing information to the Proposals and Operations teams, with consideration of the brief in hand, as well as currencies and taxes.
  • Continually enhancing your product knowledge on national and international venues
  • Travelling for inspection trips and venue visits

The Candidate

The ideal candidate will hold strong experience in venue finding in the UK and internationally. Candidates must have experience with liaising with venues and suppliers and have a strong desire to develop their knowledge of venues.

Flight Executive

We are on the hunt for a Flight Executive to join our growing in-house Flight Team. The role will be managing group flight accounts and assisting our Logistics Manager with all group & ad-hoc flight enquiries, reservations, ticketing, seat allocations, amends and associated admin.

Some of your responsibilities

  • Managing group flight accounts and assisting Logistics manager with all flight enquiries, reservations, ticketing, seat allocation, amends and admin.
  • Working with Logistics Manager, flight team and operations team regarding all flight requests.
  • Out of hours flight assistance cover required for some events.
  • Covering Logistics Manager annual leave and absence.
  • Ensuring deadlines are met, briefs are delivered correctly.
  • Using Sabre or other related GDS, airline systems.
  • Managing ATOL certificates.
  • Managing own workload.

Personal Specification

Working within an agency it’s crucial to be a team player and have the ability to communicate with all members of the team (junior and senior) and cross-department.

You will be experienced in Flight reservations and ticketing, hold an IATA Ticketing qualification such as BA level 1, 2 & 3 (or similar) and be skilled in GDS Ticketing – Sabre.

It’s a busy, hands-on role so it’s important that you have a flair for customer service along with the ability to listen, develop and promote solutions.

Creative Artworker

As Creative Artworker you’ll be supporting the design process and working across a broad range of projects.

The role will require you to work to brand guidelines and specific briefs, ensuring that production deadlines are being met and that the client services team are updated of project progress along the way. You would also be responsible for quality control, ensuring the highest possible finish to all creative output from the studio. To do this you would possess the ability to switch between creative or artworking roles as needed.

You’ll be hitting the ground running, so you will need to have a good working knowledge of design principles along with expert knowledge of Adobe Creative Suite (including InDesign, Illustrator and Photoshop.) We are a creative and busy bunch so you will also need to have a creative flair, meticulous attention to detail, be well organised, self-motivated, and enthusiastic with a professional and collaborative demeanour.

Your design portfolio should showcase your skills in creating print and online assets. However, we also want to know about your own personal love of design. So, don’t just bring work from your day job. Bring us your personal work-sketch books, freelance work and anything else that shows your own personal style, creativity, personality, passion and thoughts.

Some of your responsibilities

Creating artwork from initial concept to final delivery for printed media and digital platforms whilst working with the wider Design team and Business as a whole to ensure that all briefs are delivered to schedule.

Designing/artworking for a range of collateral, from DM and POS through to web banners and internal comms.

You must have an eye for detail and a highly creative outlook when it comes to layout and retouching images.

Personal Specification

Working within an agency it’s crucial to be a team player and have the ability to communicate to all members of the team (junior and senior) and cross department.

  • Fully competent in Adobe Creative Suite, including InDesign, Illustrator, Photoshop and Acrobat
  • A keen eye for spelling and grammar
  • Proven commercial experience in a similar role, ideally 2 – 3 years
  • The ability to multi-task and consistently hit deadlines
  • Excellent visual and verbal communications skills
  • Self-motivated, driven and passionate about detail
  • Organised and capable of handling administration and paperwork associated with the job
  • Experience in a studio within a print related environment and have a good knowledge of print formats and finishing
  • Web experience preferable but not essential
  • Comfortable with retouching images

Account Manager

As an Account Manager you will be responsible for assisting in the management, smooth running & development of our client accounts, ensuring the agency process is followed and work is delivered to the client on time, to a high standard.

Your role is to grow your accounts and make sure they are managed to perfection following the First Event high standards set out in our Best Practice.

You own your accounts, you grow them and you get the best for your clients. You think ahead to look at future opportunities and work to secure them.

You know the industries your clients work in inside/out to ensure you are one step ahead.

An overview

Our Account Managers have our mission statement at the forefront of their mind and act as the representative for their clients, working hard to maintain all aspects of their client account to ensure success.

Our Account Managers have a sharp eye for detail, driving best practice with agreed objectives and development plans, so nothing gets past them.

Our Account Managers are at ease building strong relationships with all parties who are involved in their project from their clients, colleagues, suppliers right through to making friends with the delegates.

Our Account Managers run a tight ship, supporting their colleagues in managing existing accounts effectively and profitably and they're always on hand with constructive guidance and advice for junior members of the team.

Some of your responsibilities

  • Profitably manage all financial aspects of your accounts to meet pre-agreed targets and operate within budget. Figures are to be regularly updated to finance on all projects that you and your project team are looking after.
  • Proactively manage client accounts by being the day-to-day lead but also helping identify and drive the business development opportunities within the account.
  • Manage your client and their expectations at every step of the way to ensure you are one step ahead of the game. The aim is for them to view you as an extension of their team and business.
  • Create innovative solutions & proposals to exceed your clients brief and their expectations! Attending and being a part of the sales pitch to bring the proposal to life and win the business!
  • Negotiating! We strive to achieve value for money for our clients so it is key to build successful relationships with our suppliers & third parties.
  • Manage the day to day project deliverables, providing a high standard of client service at all times.
  • Demonstrate a solid understanding of Incentives & Conferences both UK and Overseas.
  • Provide effective leadership and direction to those who report to you on a project, sharing knowledge and insight where possible
  • Be an impactful deputy for the team in the absence of the Senior Account Managers.
  • Be a “Best Practice Ambassador” by helping to implement and follow streamlined, quality practices. You will add value and contribute to the continued success and growth of the business by continually seeking and suggesting improved ways of working.
  • Here comes the science bit…Health & Safety, Risk Assessments, GDPR and Contingency Planning are all compulsory part of the plan. It’s your job to make sure these are done correctly and you lead by example.

Personal Specification

Comfortable building strong relationships and happy to converse with clients at all levels and negotiate well with suppliers.

Possess the ability to rise to the challenge of working in a busy, fast paced environment, dealing with multiple tasks and deadlines on a daily/ weekly basis. Organisational skills and attention to detail are a must.

Demonstrate great written and verbal communications skills, be able to think strategically, operate collaboratively with a high level of interpersonal management.

Working within a small(ish) agency it’s crucial to be a team player and have the ability to communicate with all members of the team (junior and senior) and cross-department.

Possess strong project management skills.
