A Three Day Virtual Conference  

EVENT: THREE DAY VIRTUAL CONFERENCE

OBJECTIVES:

Due to the ongoing Covid-19 pandemic, an environment management charity approached First Event in October 2020 to move their 2021 three-day physical conference to a virtual conference.

The sponsor-funded annual conference has been running since 1994 and this is the very first time the event turned virtual.

The client’s main objectives for the three-day event were to bring different sectors together to discuss important developments and concerns, raise awareness and encourage delegates to share knowledge.

OVERVIEW:

Our client wanted to create an interactive online conference that encouraged delegates to network and collaborate, therefore First Event created a bespoke event website to meet the client’s requirements.

The bespoke website hosted five pre-recorded sessions each day with a thirty-minute live Q&A at the end of each session. A chat function was added and enabled delegates to engage with each other throughout the sessions.

In addition, First Event designed a personalised networking function for the sponsors, speakers, and delegates to use and network. The networking function allowed for each sponsor to have a branded virtual table that delegates could pop in and out of throughout the conference.

Over the three days, the platform hosted sixty speakers and six hundred delegates attended.

RESULTS:

Overall the client was delighted with the success of the conference and the expected attendee count was doubled due to the event turning virtual.

The virtual conference was seamlessly executed, as reflected in the glowing feedback from the delegates. Many of the delegates were also pleased by the reduced carbon footprint of the event due to the lack of travel.

The accessibility of the conference also opened it up to attendees of all age groups that wouldn’t usually be able to attend due to location.

We are now working with the client to plan a hybrid conference in 2022.
