Virtual Healthcare Conferences Knowledge Exchange 2022 & 2023

Client

Overview

The Knowledge Exchange initiative, based in West Yorkshire, is dedicated to fostering collaboration and sharing best practices among healthcare professionals. With a mission to create a trauma-informed and responsive workforce by 2030, the initiative seeks to provide platforms for learning, networking, and innovation within the healthcare sector.

Four gray chairs are arranged in a semi-circle around a wooden coffee table with glasses and a tray, set in a cozy studio with decorative plants, shelves, and a Knowledge Exchange banner about West Yorkshire’s trauma-informed response system. Four people sit in a discussion panel setting, engaging in Knowledge Exchange. Two women and two men are on chairs, with a banner behind them reading West Yorkshire Violence Reduction Unit and a coffee table with water bottles in front.

The Challenge

In 2023, the focus shifted to addressing prevention, early intervention, and mitigating harm from preconceptions, while also showcasing the progress made towards collective ambitions.

In 2022, the Knowledge Exchange team approached First Event with the objective of hosting a virtual conference that could:

  • Engage a diverse audience across various sectors and units within the healthcare system.

  • Provide a platform for sharing best practices and celebrating achievements.

  • Create a safe and supportive environment for discussing sensitive topics related to trauma and resilience.

Our

Solution

First Event collaborated closely with the Knowledge Exchange team to design and deliver two impactful virtual conferences:

2022 Conference:

  • Custom Online Platform: Developed a bespoke, fully branded online event hub to host the conference, ensuring engaging messaging and functionality.
  • Interactive Features: Incorporated live chat for Q&A sessions and a ‘diary room’ concept, allowing attendees to record video pledges and reflections.
  • On-Demand Content: Made all content available for download after the event, providing lasting value and accessibility.

2023 Conference:

  • Enhanced Engagement: Introduced bespoke games and interactive content to balance serious discussions and keep attendees engaged.
  • Hybrid Element: Added an in-person component to the otherwise virtual conference, mitigating virtual fatigue and enhancing networking opportunities.
  • Innovative Studio Setup: Utilised First Event’s upgraded studio for live-streamed panel discussions and speaker sessions, delivering high-quality content.

  • Engaging Content Delivery: A mix of pre-recorded speakers, live panel discussions, and interactive elements kept attendees engaged and informed.
  • Focus on Well-being: Incorporating elements like the ‘diary room’ and bespoke games created a supportive environment, encouraging open dialogue on sensitive topics.
  • Adaptability: The ability to pivot to a hybrid format in 2023 addressed attendee needs and preferences, enhancing overall participation and satisfaction.
