Event objectives:

This adventure to Venice was all about saying thank you. Thank you to the loyal supporters who had seen this organisation through 25 years of business: an incredible milestone worthy of an incredible celebration. These invaluable relationships, having been forged over nearly a quarter of a century, were strengthened further on this once in a lifetime trip. 

Before the event:

The luxury of this experience started right from the opening of the invitations. Shaped in miniature suitcases containing a bellini cocktail, this unique design element perfectly blended the branding of both the client organisation, and the Orient Express (the guest’s mode of transport for the adventure ahead). This event branding was carried on throughout the pre-event marketing, the bespoke event website, attendee email communications and itinerary prints.

 

 

 

Event overview:

The level of grandeur continued as guests arrived at the airport for the first stage of the experience. There, guests were greeted with a brass band and champagne reception with velvet ropes surrounding a private check in desk, before boarding their very own chartered flight from Doncaster to Lille, France. Our travel management team went above and beyond to meet guests’ needs, ensuring that any luggage needed for their stay onboard the Orient Express was kept separate, with the rest of their luggage being sent directly to the hotel at the eventual destination.

As they arrived at the station platform, a barbershop quartet sang as we stepped onto the train, a step which seemed to take them back in time to 1920’s New York City, and onto the movie set of The Great Gatsby. Once aboard the train, the atmosphere was set by a saxophonist and bongo player, getting the party started and eventually taking over the entire train with this celebratory mood!

Guests received the most amazing service throughout their Orient Express experience, with on-call butlers, stunning food, glamorous decor, beautiful scenery, and first class entertainment. 

After a lovely breakfast the next morning, guests hopped off the train and onto the next form of transportation, a speed boat! As we arrived in, you guessed it, Venice! 

We headed straight to the hotel in style along the Grand Canal and towards The Cipriani Belmond Hotel, one of the most famous hotels in the city, with Michelin star restaurants, private boating docks and views over the St Mark’s Square and their very own vineyard. 

After checking in and exploring the hotel, guests had an evening at leisure. First Event were on hand to help with recommendations and reservations, both before and during the trip. The following day was free for them to spend however they pleased, allowing them to absorb the rich culture and history of this luxurious Italian city. 

On the final evening, guests came together for a breathtaking gala dinner, which really turned into a night to remember! Before the inside of the venue was revealed, guests gathered outside in the courtyard for a champagne drinks reception, building the excitement for the evening ahead. Decorated with long tables, floral pieces and glitter balls, sofas and chandeliers, the venue glistened and glimmered as guests enjoyed the fantastic food and company. 

During the gala dinner, guests were entertained by a group of Italian opera singers, performing classics and well known songs of many genres. Together with the acoustics of the venue and the emotional charge of the music, there wasn’t a dry eye in the house. After dinner the tempo was turned up for the ultimate party, where guests danced the night away.

Results:

From celebrating on the iconic Orient Express to floating through Venice taking in the world famous views, this trip was certainly one to remember. 

The success of this event really highlights the impact that an event agency can have on creating a seamless and elevated experience for guests. Whether it’s exceptional attention to detail, predicting and meeting guests’ needs before they’re even aware of it themselves, it’s only with the experience of an event agency that something as legendary as this trip to Venice can be achieved. 

The overall goal was to celebrate in style with money can’t buy experiences, to share together and remember forever, it’s safe to say that this was accomplished.
