Virtual charity conference

Event: 3 Day Virtual conference

Industry: Environmental management charity

Number of delegates: 600

Event objectives:

We began working with the client in 2020 when the environment management charity approached us to move their 2021 three-day physical conference to a virtual conference. Following the success of the event, they asked us to plan and manage their 2022 virtual conference.

The client’s main objectives for the three-day event were to bring different sectors together to discuss important developments and concerns, raise awareness for the issues faced for oceans, marine life, coastlines, and how improvements can be made.

Event objectives:

Our client wanted to create an interactive online conference that encouraged delegates to network and collaborate, therefore we created a bespoke event website to meet the client’s requirements.

The bespoke website hosted 21 sessions including 6 keynotes in total with over 60 speakers and 21 session chairs. The sessions consisted of pre-recorded presentations with a live Q&A for delegates to engage and interact with the speakers.

We created a networking area for delegates to interact, a total of 50 networking tables were provided, with additional tables for the sponsors of the event. The networking area was open from 08:00 – 18:30 each day of the three-day event for attendees to use at the start/end of the day and during breaks. After the session Q&As, the networking area provided attendees with a meeting place where they could go and talk to the session speakers and ask more questions and carry on the conversation.

Results:

The virtual conference was seamlessly executed, as reflected in the glowing feedback from the delegates. Delegates were delighted that they could access the event content and re-watch speaker sessions at times convenient to them.

Overall the client was delighted with the success of the conference and we are now working with them on the 2023 hybrid conference.
